Let's break it down into a process you can actually follow.

Start With What You Already Know

Before you touch any tool, grab a notebook and write down every question a customer has ever asked you. Every objection. Every "do you also do ___?" inquiry. Every phrase they use to describe your service that's different from how you'd describe it.

This is gold. Your customers are literally handing you keyword ideas every time they talk to you.

A plumber doesn't need a keyword tool to know that people search for "why is my water heater making noise" or "how much does it cost to fix a leaky faucet." You already have this knowledge. Write it down.

Use Free Tools to Expand Your List

  • Google Search Console: If your site is already live, check what queries are already bringing impressions (even without clicks). These are low-hanging fruit.

Focus on Intent, Not Just Volume

Here's where most small businesses go wrong: they chase high-volume keywords that are impossible to rank for and irrelevant to their business.

"Marketing" gets millions of searches a month. You will never rank for it, and even if you did, most of those searchers aren't your customers.

Instead, focus on keywords with clear buyer intent:

Long-tail keywords (3-5+ words) typically have lower search volume but much higher conversion rates. A hundred visitors searching "affordable bookkeeping services for freelancers" are worth more than ten thousand searching "bookkeeping."

Map Keywords to Pages

Every keyword (or cluster of related keywords) should map to a specific page on your site. This prevents you from competing with yourself and ensures every page has a clear purpose:

  • Service pages → Target your core "buy" keywords ("web design for small businesses," "digital marketing agency near me")
  • Blog posts → Target informational "learn" keywords ("how to improve website speed," "what is local SEO")
  • Location pages → Target geo-specific keywords ("marketing agency in Sylva NC," "web designer Asheville")

Create a simple spreadsheet: keyword, monthly search volume estimate, intent type (buy/learn/compare), and the page you'll target it with. This becomes your content roadmap.

Check the Competition (Realistically)

Before committing to a keyword, Google it. Look at what's ranking on page one:

  • If it's all massive brands (Amazon, Forbes, HubSpot), that keyword is probably too competitive for now.
  • If you see other small businesses, local directories, or thin content, you have a real shot.
  • If the top results don't fully answer the query, that's your opportunity to create something better.

You don't need to outrank everyone. You need to outrank the businesses competing for your specific customers in your specific market.

Put It Into Action

Keyword research is useless if it stays in a spreadsheet. Here's your action plan:

  1. This week: Audit your existing pages. Does each one target a specific keyword? Update title tags, headings, and meta descriptions to include your target phrases naturally.
  2. This month: Publish two blog posts targeting informational keywords your customers are searching for.
  3. Ongoing: Check Google Search Console monthly. Look for queries where you're ranking on page 2 (positions 11-20). These are your biggest opportunities — a few tweaks can push them to page 1.
